Insurance. There’s a word that conjures up mixed emotions. Nobody wants to pay for it but it certainly is nice to have when you need it. In the tradeshow industry, there are many steps to take to ‘ensure’ success on the show floor. Partnering with a reliable exhibit company like Skyline Exhibits for instance is a great start. But one step that is overlooked every now and then is insuring freight to and from events. Sometimes it’s skipped simply to save a few bucks and other times it’s just an oversight. But more often than not, it’s that ‘one time’ that will come back to haunt you.
If you arrange your own freight, double-check to make sure you have checked the insurance box. Or be sure to ask your sales representative to please insure my freight. Because all of the other steps that you have carefully and methodically planned to ensure your success may be all for naught if your exhibit and graphics arrive on the show floor damaged and unusable. Nobody wants to be that person!
Now if your show is in Las Vegas and you’re out on the casino floor playing blackjack and you’ve got 17 or higher when the dealer has an ace showing and they ask you if you want insurance…well good luck with that!
The 52nd Annual Meeting of the American Society for Radiation Oncology (ASTRO) www.astro.org in San Diego, CA at the San Diego Convention Center this past October 31st – November 4th. What a great venue and city and home to the west coast’s Marine Corps Recruiting Depot (MCRD) and Naval Base Coronado.
This year’s ASTRO was by far one of the largest Tradeshows in its’ 52 years. The tradeshow used Halls B2 – G and more than 283 companies exhibited. The amount of square footage that was used for the show was more than 35,000 sq. ft. Also there was more than 12,000 Attendees to explore and conduct business on the show floor.
The ASTRO Show has been around for 52 years and so have some of the companies that Exhibit but there also has been some changes with the turbulent world economic climate. Some new and old companies have emerged as players in the Radiation Oncology market. I was amazed at the large custom modular exhibits being used at the Show. According to my observation there were about 60% had some type of custom modular component to their exhibit property.
Custom Modular primarily means that standardized components are used to use custom configurations and designs. Majority of the booth structure incorporates fabric because of the versatility and cost of use. The fabric can be used in many different ways such as main graphics, layers to provide a 3-D look, double-sided print coverage, sheer drapery, back lighting possibilities and much more. It also can save you money on shipping, drayage and installation and dismantle.
Here are just a few of the companies that seemed to stand out on the Exhibit Floor:

The recurring costs associated with a purchased booth include costs of warehousing the booth, its refurbishment from time to time and labor and material costs to set it up. Before committing to undertaking these costs, it is important to be sure that you are really going to use the same booth again. If you rent a booth, you need not worry about your big one time investment or associated costs as many rental packages offer booth setup, dismantle, and shipping service along with the rented booth.
2. Customization and Flexibility
Trade show booth rentals offer you the advantage of customizing the trade show booth every time you participate in a trade show. Moreover, if you are renting a booth, you can even go ahead and rent an elborate one for an important trade show that will deliver the needed impact for that trade show.
Sometimes different trade shows also have varying requirements in terms of booth size, height and structure, in which case again you will need the flexibility of being able to choose a booth as per required specifications.
3. Scalability and Portability
Renting booths also allow you scalability, when you would like participate in two trade shows at the same time. In addition, you save on the transportation cost of the booth, which can especially be exorbitant if your trade show location is overseas or very far away from your office location.
Renting a booth for a trade show is a win-win for the company under most circumstances – it lowers the cost, it gives you the advantages to customize for different market segments and best of all there is no cost of ownership.
